Music school management software that starts with the student

Student records, lesson notes, progress and parents in one profile that every teacher can work from. Hosted in the EU, with a data processing agreement included.

Most music schools start with a spreadsheet. Name, phone number, lesson day, maybe a "paid" column. That works until you take on a second teacher, a student stops halfway through the year, or a parent asks what their daughter has actually learnt this term. Then it turns out the information is spread across a spreadsheet, a notebook, your inbox and a handful of chat threads. Good student management software fixes exactly that: one place where everything about a student comes together, and where every teacher can reach what they need.

What good student records for a music school contain

Whatever the size of your school, the basics are the same. At minimum you want to be able to find, per student:

  • Contact details for the student and the parent, because with children the parent is your real point of contact.
  • The lesson arrangement: which teacher, which day, what time, how long and in which room.
  • Start and end date, including the reason for stopping. Invaluable when you later want to understand why students leave.
  • Lesson history: which lessons took place, which were cancelled and which still need making up.
  • Progress: what the student is working on, what they have mastered and what still needs to grow.
  • Consent: for minors, you want to be able to show that parents agreed to what you record.

In Musicdott all of this sits in the student profile. Scheduling a lesson, writing a lesson note or inviting a parent all happen from the same page. Teachers work in the same system, so when a colleague covers a lesson, they can see straight away where the student is up to.

From admin to actually tracking progress

An address book is not a student tracking system. The difference is what happens between lessons. After each lesson you write a short lesson note in Musicdott: what you covered, the homework and perhaps the tempo the student reached. Together those notes form a log you can scan in ten seconds before the next lesson.

You prepare lessons and exercises with text, video, sheet music, tab or drum patterns. Students see them in their own account and log with one click that they have practised. You, the teacher, score how far they have got on a simple scale from "still needs practice" to "can apply it". That shows you at a glance who is stuck, well before the student starts thinking about giving up. The practice tracking page explains the whole loop, andwhy students really quit explains why it matters.

A few times a year you also want to step back. Progress reports let you write an overview per student, which you publish only when you are happy with it. That is useful at the end of a term, or ahead of a graded exam such as ABRSM, Trinity or RSL, when parents want to know how things stand. More on lesson material on thelesson platform page.

Parents are part of it

For students up to about sixteen, you arrange almost everything with the parents. You invite a parent from the student profile; they get their own login with the timetable, lessons, progress and messages. If two siblings attend your school under the same parent email address, the parent sees both children in one account. That saves you explaining things twice and saves the parent a pile of separate emails. For ideas on involving parents without turning them into practice police, readthis article.

Moving your existing student list across

Switching usually fails on one thing: nobody wants to retype sixty students by hand. So in Musicdott you import a CSV file, the format any spreadsheet can save as. You see a preview first, map the columns yourself, and only then is anything created. Each student or parent then receives an email invitation to activate their account. If you are weighing up several tools, thebuyer's checklist has the questions to ask about migration.

GDPR and children's data

You are recording personal data, often about children, so you need to know where it is stored and who can access it. Musicdott's application and database run in the EU. Every plan comes with adata processing agreement, and thesub-processors page lists exactly which services we use, including the few outside the EU covered by standard contractual clauses. Teachers and owners must sign in with two-factor authentication. For minors you can ask parents for consent, and accounts that have been unused for years are anonymised automatically. For schools in the UK, UK GDPR works on the same principles.

Software doesn't take care of everything: you remain responsible for what you record and why. A good rule of thumb is to record only what you need to teach well and run your school.

What Musicdott doesn't do

To be honest about it: Musicdott is not invoicing or accounting software. We don't issue numbered invoices, take card payments or run direct debits. With the Manager add-on (€19.95 a month) you can track per student per month whether the fee has been paid, send payment reminders, create a receipt and export everything as CSV for your bookkeeper. Musicdott is also built around individual lessons rather than large group classes with termly registration.

What does it cost?

Standard costs €29.95 a month for 1 teacher and 25 students. Pro costs €49.95 for up to 3 teachers and 75 students, and Compleet €89.95 for unlimited teachers and students. All prices exclude VAT. The first month is free and you can cancel monthly. Full details on the pricing page.

Frequently asked questions

What is the difference between student admin and student tracking?+

Student admin is about who your students are: contact details, parents, lesson arrangements, start and end dates. Student tracking is about how they are doing: lesson notes, assignments, scores and progress. In Musicdott both live in the same student profile, so you never search two systems.

Can I move my existing student list over from a spreadsheet?+

Yes. Export your list as CSV from Excel, Google Sheets or your current system, upload it, check the preview and map the columns yourself. Nothing is created until you confirm. Each student or parent then receives an email invitation to set up their account.

Is Musicdott GDPR-compliant, and does that matter outside the EU?+

The application and database run in the EU, every plan includes a data processing agreement, and all sub-processors are listed publicly, including the few outside the EU covered by standard contractual clauses. Teachers and owners sign in with two-factor authentication. For UK schools, UK GDPR follows the same principles. You remain responsible as a school for what you record and why.

Can parents see what their child is working on?+

Yes. You invite a parent from the student profile. The parent gets their own account with the timetable, lessons, progress and messages. If a family has several children at your school under the same parent email address, the parent sees them all under one login.

Does Musicdott invoice students or collect lesson fees?+

No. Musicdott is not an invoicing or accounting system and does not collect payments. With the Manager add-on you can track per student per month whether the lesson fee has been paid, send payment reminder emails, create receipts and export everything as CSV for your bookkeeper. Invoices, card payments and direct debit stay in your own accounting or payment software.

How much does it cost?+

Standard is €29.95 a month for 1 teacher and 25 students, Pro €49.95 for up to 3 teachers and 75 students, and Compleet €89.95 for unlimited teachers and students. Prices exclude VAT, the first month is free and you can cancel monthly. The Manager add-on is €19.95 a month on top.
